This project was built as part of a team initiative in partnership with a Small, Medium, and Micro Enterprise. While the group led research and business analysis, I owned the prototype build and translated the requirements into a working, AI-powered administrative system designed for real operational pressure.

The Problem

  • Administrative overload from repetitive customer queries, order handling, and manual stock checks.
  • Slow communication causing missed sales opportunities and weaker customer experience.
  • Fragmented systems for messages, orders, payments, and inventory, increasing risk of error.
  • Low scalability because growth required additional staffing and rising overheads.

The Solution

We proposed and built a centralized AI-powered administrative suite that combines transaction management, communication handling, inventory tracking, and analytics. The architecture was designed to reduce repetitive operational load while preserving owner oversight through human-in-the-loop AI decisions.

My Role

Key Features

1) Centralized Dashboard

Unified interface for customer messages, order flow, transactions, inventory status, and operating insights.

2) AI Communication Module (Core)

Reads incoming messages, interprets intent, drafts context-aware responses, and suggests replies for owner approval before sending.

3) Smart Order & Transaction Management

Tracks purchases, links payment flow, and automatically synchronizes inventory adjustments.

4) Inventory Management

Real-time stock visibility, low-stock alerts, and direct linkage to order and sales events.

5) Integrated POS

In-store transaction support with immediate reporting and inventory sync for physical-digital continuity.

6) Business Analytics

Revenue trends, product performance patterns, and operational signal tracking for better decision-making.

Business Impact

The suite reduces repetitive administrative load, improves communication speed and consistency, cuts operational errors through centralization, and supports growth without immediate staffing expansion. AI is used as a decision-support layer, not as an uncontrolled replacement for the business owner.
